Departmental allocations are awarded to each representative unit for their participation in the Senate. The amount varies between department/program as it is based on the number of students and membership of a Senator on a committee. Allocations are distributed at the end of the Spring semester for use by June 30th of that year.

Departmental Allocations Process


  • Representative unit must be in good standing.
  • Senator for the representative unit must have attended six (6) out of the eight (8) Senate meetings in the currentΒ fiscal year.

Request Submission

Requests must be submitted to the GPSF comptroller. Allocation applications will be open at the end of the final Senate Meeting and are due within 10 days. The online allocation submission can be found at the link below.

The submission must include:

  • How the funds will be utilized
  • Allocation request are consistent with Treasury Laws
  • Be sponsored by the unit’s Senator in good standing

Allocation Formula

The amount awarded to each unit is based on the allocation budget and participation points earned by a unit through the following formula:

  • One (1) point will be earned per full time fee-paying graduate or professional student in the unit. A minimum of 25 pointsΒ will be given to units with less than 25 full time fee-paying graduate and professional students.
  • One half (1/2) point will be earned per full time fee-paying graduate or professional student in the unit if the unit has a Senator in good who sits on a Senate committee and has attended at least 80% of the committee meetings prior to the sixth Senate meeting. A maximum of 200 points may be earned by units with more than 400 full time fee-paying graduate and professional
  • The number of points earned by all units (used in the denominator of the allocation formula) will include points for units that are not yet eligible but may become eligible but will exclude points for units that cannot possibly become eligible.


The GPSF Comptroller will process all department allocation requests. The Comptroller will:Β 

  • Verify that the unit is eligible,
  • For units requesting their Allocation to go to a recognized student organization, please contact the GPSF Chief of the Exchequer for more information.
  • The Comptroller will contact the Senator with calculated amount at least three (3) weeks prior to the last Senate meeting.
  • For units without a recognized student organization, payment up to the amount of the Allocation will be submitted after receiving itemized receipts from the unit’s Senator.
